Send a message from the USSF Licenses availability report

1. This tutorial reviews the messaging feature added to the USSF Licenses page as well as useful filtering options within the Interactive Menu.

2. To access the USSF Licenses report, click the arrow next to Availability to expand the dropdown.

3. Click USSF Licenses

4. If you want to focus on a particular pool, use the Filter by Pool dropdown to select it.

5. We will focus on the MLS Next Cup Referee pool for our initial example.

6. The report displays licenses for multiple disciplines and types, in addition to the expiration date of each license and the number of days until each license expires.

The same person is likely to be listed multiple times in the report.

7. Filtering this report in various ways can help focus the list of recipients.

Click Actions to access the interactive menu.

8. Click Filter

9. Choose a column, then an operator, then an expression to filter the report in various ways.

10. For this example, we will focus on the Expiration Date column.

11. For the operator, we will choose less than or equals to.

12. To select a date, click the calendar icon.

13. Use the arrow to go to a different month.

14. For this example, we have filtered the report to display expiration dates less than or equal to December 31st, 2025.

15. To focus only on referee pathway licenses, click the Type column header and select referee pathway.

16. We have now filtered the report to display people in the MLS Next Cup Referees pool, with referee pathway licenses, that expire December 31st or earlier.

17. For this next example, we removed the pool and type filters and will explore a different set of filters.

Click Actions, then Filter.

18. For this example, we will choose multiple license names to filter the report. Click License Name for the column filter.

19. Select the in operator. The in operator functions as an or operator, which is used when multiple items need to be included in the Expression.

20. We will select multiple licenses to focus on the different referee license names within the report. Our first selection is Grassroots Referee.

21. Click on each relevant selection. Commas will be automatically inserted between your selections.

22. We now have the filtered list of people ready to send a message to. You can select individuals by clicking the checkbox next to their name, or select all by clicking the checkbox in the header row.

23. Click Build Message (add recipients), which will add the people selected to the message recipients.

24. Type an email Subject line, such as Reminder to recertify.

25. Type your message to the recipients.

26. To save the message and send it later, click Save. The message will be saved as a draft in the message center.

27. If you're ready to send the message now, click Send.

28. Another filtering option is to display people with already-expired referee licenses.

29. The Learning Center does not display expiration dates in the past for referee licenses. However, we have configured the report to show a blank expiration date under this column for these cases.

30. Click inside the filter to edit it.

31. Click the operator dropdown.

32. Select is null to display blank expiration dates, which means the license has expired.

33. Click Apply

34. The people listed in the report have specific licenses that have already expired.

Select these people to send them a message as previously shown.

35. Select any relevant License to focus on the people you need to communicate with.

36. For example, you may want to focus on background checks that have already expired.

For background checks, the Learning Center provides the Expiration Date.

37. Instead of using the Expiration Date as a filter, we can filter for Days until Expires instead.

Click Actions, then Filter.

38. Select Days until Expires for the Column.

39. Click Operator

40. Select less than for the operator and type 0 in the Expression.

41. Click Apply

42. Our filter is set to show background checks with less than zero days until expiration, meaning they have already expired.

43. The entries in this column show negative numbers.

44. To select all the people listed for your message, click the checkbox in the header row.

45. Click Build Message (add recipients) to add these recipients to your message.

46. Confirm this action by clicking the Build Message button again.

47. Type in a Subject and Message.

48. Click Save to send the message later, or Send if you're ready to send it now.
