Link Clubs to a Competition and map Teams to Clubs

1. This tutorial shows how to create a club structure and how to map teams to a club within a Competition.
This structure is useful when Assignors assign for all teams within a club under the Refine Assignor Permissions area of Schedule Resources.
2. To start, click Competitions.
3. Search for your Competition in the search bar.
4. Type in the search term and Press Enter.
5. For this example, we will set up a club structure for Westchester Youth Soccer League.
Click the magnifying glass next to the Competition name.
6. Under the Region selector, click Clubs.
7. We have a few clubs already listed and will now add more.
Click Manage Clubs.
8. Expand the User Guide for in-page guidance and instructions.
9. Clubs in this Competition are listed on the left side. If you haven't linked any clubs to this Competition yet, this area will be blank.
10. Teams in this Competition are listed on the right side. The teams listed here come from the matches that were previously imported into this Competition.
The club name will be blank until the team is mapped to a club.
11. Let's set some filters on the Teams side of the page to make it easier to isolate teams.
Having the club name as the first word of the team name makes it easier to find the teams that are part of a club.
Click Actions.
12. Click Columns
13. Double Click Team First Word to move it to the right side and display it in our report.
14. Move this column next to Team Name by using the up arrow.
15. Click Apply
16. Since we already mapped several teams to clubs, let's only show the teams that have not yet been mapped.
Click Actions.
17. Click Filter
18. Click Column
19. Click Club Name
20. Click Operator
21. Click is null
22. Click Apply
23. We are now filtering the list to only show teams that do not have a Club Name associated with it.
Let's now set a control break to organize this list by Team First Word.
Click Actions.
24. Click Format, then Control Break.
25. Click Column 1
26. Click Team First Word
27. Click Apply
28. Adjust the number of Rows displayed on this page through the shortcut. For this example, we will display 50 rows at a time.
29. We will now isolate the list of teams for a single club to make it possible to select all of those teams at once for the mapping step.
Type the search term and Press Enter. For this example we will isolate the Cortlandt SC teams.
30. On the Clubs side of the page, we first need to check if this club already exists. Click the arrow next to Link Existing Clubs to expand the dropdown list.
31. Type the club name in the search bar and Press Enter to see if it already exists.
32. Since this club does not exist, we will Create it now. Click the arrow next to Create New Club to expand the area.
33. Type the Club Name in the Club Name area. It is very important to be accurate in the spelling of the Club name here.
34. Enter the City if you know it and choose the State from the dropdown list. Click Create Club Record when finished.
35. Confirm by clicking Create Club Record.
36. Cortlandt SC has now been added as a Club in this Competition. Now we will map teams to this club.
Click the radio button next to the club name to select it.
37. Since we already filtered for Cortlandt on the Teams side of the page, we can click select all to choose all the teams.
If some teams should not be mapped to this club, you can also individually select the teams that should be mapped.
38. Click Map Teams To Club
39. Confirm by clicking Map Teams To Club again.
40. We have now linked the club Cortlandt SC to the Competition and mapped 10 teams to the Cortlandt SC club.
41. If you made an error and need to unlink a club from a competition, select the relevant club using the radio button.
42. Click Unlink Club From Competition
43. Confirm by clicking Unlink Club From Competition.
For this tutorial, we clicked Cancel to leave the club linked to the Competition.
44. To see the teams that are mapped to a club temporarily, uncheck the Club Name is null filter on the Teams side of the page.
45. If you find an error and need to remove the club name from a particular team, select the relevant team.
46. Click Remove Club for Selected Team
47. Confirm by clicking Remove Club for Selected Team.
For this tutorial, we clicked Cancel to leave the club name for that team intact.
48. To link the next club and map the teams to that club, remove any filters that no longer apply by clicking the X next to the filter.
49. Turn the Club Name is null filter back on by checking the box to the left of this filter.
50. Type the search term and Press Enter. For this next example, we will isolate teams starting with "Croton".
51. Check if this club already exists through the Link Existing Clubs area.
52. Remove any old filters by clicking the X to the right of the filter.
53. Type the search word for the club name and Press Enter.
54. This club already exists, so we will click the link icon to link this club to the Competition.
55. Now let's map the teams to this club. Select the club by clicking the radio button.
56. Since we already isolated the team names for this club, click select all.
57. Click Map Teams To Club
58. Confirm by clicking Map Teams To Club
59. Repeat these steps until all clubs are linked to the Competition and all teams are mapped to the clubs.
60. Refine Assignor Permissions can use this club structure as an organizing principle for multiple assignors within a Competition.
