74 STEPS
1. This tutorial reviews the Account Stats report, which provides insights to assignments and related items across an account.
It also demonstrates how full-access administrators can disassociate users from their account in bulk.
2. To start, click the arrow next to Assignor Workflow to expand the dropdown.
3. Click the arrow next to Reports to expand the dropdown.
4. Click Account Stats
5. Choose the Year of interest at the top.
There are several areas of focus to choose from within this report. Let's explore each section.
6. By Month shows the number of assigned and accepted assignments for each month of the year chosen within each bar.
7. By Status shows the number of assignments in each of the statuses of accepted, declined, revoked, and assigned. Since the number of declines is often a concern, we will further explore the nature of these declines later in this tutorial.
8. Time to Accept shows the number of days between when an assignment was released and when it was accepted.
9. Assigned by Age Range (Officials) shows the number of assignments that were assigned to officials within the age ranges displayed on the left. In this example, there were 9,757 assignments assigned to officials who were 13-17 years old.
10. Clicking inside the bar shows the proportion of assignments compared to the total number of assignments. In this example, the 9,757 assignments for officials aged 13-17 comprise 24% of the total assignments across the account.
11. Decline by Age Range (Officials) shows how many assignments were declined by officials within the age ranges shown on the left. In this example, 3,320 assignments were declined by officials aged 13-17.
12. Clicking inside the bar shows the proportion of declined assignments compared to the total number of declines. In this example, the 3,320 assignments declined by officials aged 13-17 comprise 37.5% of declined assignments across the account.
13. Assigned by Official provides assignment details by person.
The report displays Total assignment counts, assignments for each quarter (for example Q1 is January through March), and assignments for each month.
14. The column Added to Account can be displayed from Actions/Columns to show when the user was added to the account. Activated shows if the user has activated their account or not. Columns can be ordered as you wish.
15. Click a column header to filter for a specific item within that column. For example, to filter for only those users who have activated their account, click the column header Activated and choose Yes.
16. The report can be sorted in various ways by clicking on a column header. For example, you can sort the report by the Total column in ascending order (from lowest to highest) by clicking the up arrow.
17. The report will be sorted in ascending order.
18. Or you can sort the report by the Total column in descending order (from highest to lowest) by clicking the down arrow. Many other filtering and sorting options are available from the Actions interactive menu.
19. Let's take a deeper look at declines from the Declines by Official area. The Total column for this report displays the total number of declines for each official in the year chosen.
20. To see the officials who have the most declines, let's set a control break.
Click Actions.
21. Click Format, then Control Break.
22. Click Select Column to show the dropdown of available columns.
23. Click Total to set the Control Break on the total number of declines.
24. Click Apply
25. The report is now "sectioned" off by each level of the total number of declines within the report.
26. We're more likely interested in seeing the list of names that have a high number of declines, so let's set a filter on top of the control break. Click Actions.
27. Click Filter
28. Click Operator
29. For this example, we want the control break to only display officials whose total number of declines is 25 or more. Click >= as the operator.
30. Click Expression
31. Type 25 in Expression and Click Apply.
31b. Click
32. The officials with a total number of declines 25 and above are now displayed in a control-break format.
33. To see this list without a control break, click Actions.
34. Click Filter
35. Click Column
36. Click Total
37. Click Operator
38. Click >=
39. Click Expression
40. Type 25 in Expression and Click Apply
40b. Click
41. The filter now displays all officials who have 25 or more declines. The number of declines in each month is also displayed for that user.
42. User Base gives a simple summary of officials for combinations of Activation Status (Activated or Not Activated) and Assignment Status (Has Assignments or No Assignments).
43. The remainder of this tutorial is for full-access administrators. If you are not a full-access administrator, you may exit the tutorial now. Thank you for your attention.
Full-access administrators may continue to review bulk disassociation.
44. To disassociate users from your account in bulk, click Assigned by Official.
45. Let's edit this filter to display users who were invited to the officials portal but did not activate their account.
Click Edit Filter.
46. Click the down arrow under Expression.
47. Select No to show users who have not activated their account.
48. Click Apply
49. Let's add more filters to only include users who have zero assignments and who were not added to the account recently.
50. First, we'll add a filter to only include users who have zero assignments.
Click Actions then Filter.
51. Click Column
52. Click Total -- Total on this report represents the total number of assignments.
53. Leave the Operator as = and Click Expression.

Click Actions.
56. Click Filter.
57. Click Column
58. Click Added to Account
59. Click Operator
60. Click <
61. Click the calendar icon.
62. Use the arrows to move through the calendar or use the arrows next to the name of the month to select the date.
63. Let's display only those users who were added to the account prior to March 1, 2024.
64. Click Apply
65. Our filters are showing non-activated users who were added to the account prior to March 1st, with zero assignments.
66. You can select individuals by checking the box next to the person's name.
67. Or you can Select All by checking the box in the column header.
68. When you have finished filtering the users as you wish, click Disassociate Selected Officials to remove them from the Directory.
69. Confirm this action by clicking Disassociate Selected Officials again. This action cannot be undone in bulk, so ensure your filters and selections are done mindfully.
70. To view, search, or restore removed users, click the arrow next to Settings to expand the dropdown.
71. Click Removed Users
72. To view a removed user's assignments, click the magnifying glass in the row of their name.
73. To restore a removed user, click the plus sign next to their name.
74. Thank you for watching the tutorial on Account Stats and how to Disassociate Users from your account in bulk.
