Self-assign match designation and eligibility settings

1. This tutorial shows how to designate matches as available for self-assign, and various settings to control eligibility for those matches.
2. To start, click Competitions
3. Let's use the Lakeville Fathers Day Cup competition as our example.
4. To restrict the number of self-assigned matches one official can work in a day, click Edit Competition Record.
5. Scroll down to Self Assign Max Daily. Click the question mark to read how this setting works.
6. The number entered here limits an official to a maximum number of self-assigned matches on any given date.
7. For this example, we will restrict officials to a maximum of 4 self-assigned matches on any given date.
8. Click Save Changes when finished.
9. Click cancel to return to the previous page.
10. Self-assign settings are done at the Schedule level.
However, a summary of current self-assign settings is available from the Competition page.
Click Self-Assign on this page to see what is currently designated for self-assign across schedules.
11. Currently, we are making matches in the U10 schedule available for self-assign for all match roles.
No minimum or maximum ages are set.
No maximum drive time is set.
12. Self-assign is available "1000 days" before the match date, meaning the matches are immediately visible.
There is no minimum number of years of experience set.
13. Click Schedules to either adjust these settings or to make matches in other schedules available for self-assign.
14. Let's make matches in the U13 schedule also available for self-assign. Click the magnifying glass next to the schedule.
15. Click Self Assign
16. Currently, no match roles allow self-assign.
17. Click Grid Edit to open the grid and make our settings for all match roles in one view.
If you prefer to choose settings for only one of the match roles, click the pencil icon next to that role instead.
18. Click the Edit button to edit the cells, or simply double-click inside one of the cells.
19. Let's allow the Referee role to be self-assigned. Click the dropdown.
20. Click Yes
21. If you want the official to be a minimum age, enter it here.
22. In this example, we'll choose 15 as the minimum age.
The system will automatically restrict the display of the referee role within these matches in the app only to those officials over the age of 15.

23. Set a maximum age if you like. This item is useful if you want to restrict these self-assigned matches to a specific age range.

24. Choose a maximum drive time between the official's home address and the site to restrict the display of the matches only to those officials who live within this drive time.
For this example, we will leave it blank.
25. You MUST choose a pool of officials for each role of self-assigned matches within the schedule.
You can either use an existing pool or create a specific pool of officials you feel comfortable with self-assigning.
26. For this example, we will use our Demo pool.
27. Choose whether the default status for this role is tentative or accepted.
When the default status is set to tentative, the assignor decides whether to release the assignment or remove the official.
28. For this example, we will set the default status of the Referee role to tentative.
29. Choose the assignor of record for these self-assigned matches. All assignors who have assigning permissions within this schedule will display in the dropdown list.
30. Select the relevant person.
31. You MUST choose when these matches are available for self-assign.
This item is useful if you prefer to make preliminary assignments, then later make them available for self-assign a certain number of days before the match date.
32. For this example, we will make the matches immediately available for self-assign, so we will select no limit, which is represented on the summary page as "MD minus 1000 days".
33. If you want a minimum number of years of experience for an official to self-assign to this role, enter it here.
34. Fill in the grid according to your preferences.
35. We have now finished filling in our preferences. Note we have set the default assigning status for the Referee to tentative and to accepted for the AR1 and AR2 roles.
A default status of accepted means no action is needed by the assignor.
36. Click Save when finished.
37. You can quickly switch to the grid edit page for another schedule by clicking on it here.
38. Click cancel when finished.
39. Sometimes there are individual matches within a schedule you want to exclude from self-assign. To select these matches, click Self Assign Exclude Matches.
40. The filters will default to the competition and schedule last used.
The Self-Assign status of each match is displayed.
41. To exclude a single match from self-assign, click the checkbox next to it, then click Disallow Selected.
42. Click Disallow Selected again to confirm this action.
43. Note the self-assign status for this match now says Self-Assign NOT Allowed.
44. If you want to filter the matches displayed and select all the matches, click the select all checkbox in the header row.
45. Click Disallow Selected to take this action in bulk.
46. Confirm this action by clicking Disallow Selected again.
47. Or switch to the other status in bulk.
48. Select all and click Allow Selected to change them back.
49. Click Allow Selected again to confirm this action.
50. Let's now switch to the officials portal to see how these self-assigned matches are displayed in their app.
51. We are now in the officials portal. This official meets the criteria we set for self-assigning these U13 matches and this person is in the Demo pool. The roles they are eligible for and that are available are displayed.
52. The official clicks the magnifying glass to select a match.
53. Use the Display Game Fee toggle in schedule settings to have it display here for the officials. Settings filled in for Payment Method, Minimum Age, and Minimum Years of Experience will also display here.
54. The official clicks the plus sign next to the relevant role to self-assign to it.
55. They must confirm this action by clicking OK. The confirmation box states by clicking OK they are agreeing to officiate the match.
56. Recall we set the Referee role in the U13 schedule to default to tentative status, which is displayed here for the official.
57. Let's switch back to the assigning portal and go to the Assigning Workspace to see how this self-assigned match role displays.
Click Assigning Workspace.
58. Click the name of the official in tentative status.
Note the self-assigned icon next to their name, which distinguishes this assignment from assignments not made through self-assign.
59. Clicking on the cell surrounds it in green and puts the assignment into focus at the top of the page.
Note the status is tentative and self-assigned says "Yes".
60. If you approve of this self-assignment, you can release it (and any others in tentative status) from here.
61. Use the filters to display relevant matches from this page. A column indicating if the assignment is self-assigned or not can be used to display all self-assigned tentative assignments.
62. Select the relevant assignments using the checkbox.
63. Click Release Selected Assignments
64. Click Release Selected Assignments again to confirm this action.
65. Back in the officials portal, the assignment changed from tentative status to assigned status.
66. Email and push notifications are sent to the official to indicate a new assignment has been released.
67. They must accept (or decline) the assignment.
68. Considering they self-assigned this role, we expect them to Accept the Assignment!
69. Back in the Assigning Workspace, the assignment status is updated to accepted and the self-assign icon remains visible.
